How we look after your information at Ashcombe House.
Who we are
Ashcombe House (“we”) is the data controller for the information you give us when you enquire or book. If you have any questions about your data, contact the venue and ask for the person responsible for data protection.
What we collect
When you enquire, we collect your name and a way to reach you (phone or email), the date and space you’re interested in, and anything you choose to tell us about your event. We may also keep a simple note of your previous enquiries so we can pick up where we left off.
Why we use it, and our lawful basis
We use your contact details to arrange, confirm, and remind you about your event, and to reply to your enquiry. Our lawful bases under UK GDPR are Article 6(1)(b) (taking steps at your request before providing a service) and, for the initial enquiry, your consent.
Eva, our AI events coordinator
Eva helps arrange and manage enquiries. Anything you tell Eva is used only to help with your event. A member of the venue team remains responsible for your event, and you can always speak to a person.
Who we share it with
We do not sell your information. We share it only with the people and services needed to run the venue and contact you — for example, our enquiry, messaging, and IT providers, who act on our instructions — and where we are required to by law. Your data is held within the UK or the European Economic Area.
How long we keep it
We keep enquiry details only as long as needed to deal with your enquiry, and your event history for as long as you remain a client. (The venue will confirm its exact retention periods.)
Your rights
You have the right to ask for a copy of your information, to have it corrected, and — where it applies — to have it erased or its use restricted, and to object to certain uses. Where we rely on consent, you can withdraw it at any time. To exercise any of these, contact the venue. You can also complain to the Information Commissioner’s Office (ico.org.uk).
